Vendor Terms and Property Submission Agreement

These Vendor Terms apply to every hotel, houseboat, homestay, villa, resort, guest house, cottage, apartment, or other stay provider submitting property details, rooms, rates, images, documents, inventory, and availability to Rayvia Tour and Travel.

1. Accurate Property Information

The vendor confirms that all property name, owner details, registration details, location, Google Map link, landmark, images, room categories, room size, view, bathroom details, amenities, meal plans, extra bed availability, rates, pax capacity, and policies submitted to Rayvia are accurate and not misleading.

2. Documents and Ownership

The vendor must upload genuine documents such as lease agreement, registration proof, owner authorization, property licence, or other documents requested by Rayvia. Rayvia may reject, suspend, or remove a property if documents are missing, incorrect, expired, or disputed.

3. Room Rates, Meal Plans, and Extra Beds

The vendor is responsible for keeping room-only, room with breakfast, room with breakfast and dinner, occupancy capacity, and extra bed pricing accurate. If an extra bed is allowed, the displayed extra bed rate must be honoured for the selected meal-plan booking.

4. Inventory, Blocked Dates, and Overbooking

The vendor must keep availability updated and block rooms immediately when sold elsewhere. If a room is blocked, sold out, under maintenance, or unavailable, the vendor must update Rayvia inventory before accepting bookings from any other channel. Overbooking caused by vendor delay, incorrect inventory, or manual error is the vendor responsibility.

5. Customer Service and Behaviour

The vendor must treat every Rayvia customer professionally and respectfully. Misbehaviour, rude conduct, harassment, discrimination, unsafe service, refusal of confirmed inclusions, pressure for extra payment, or misleading communication can lead to rejection, delisting, payout hold, or permanent vendor suspension.

6. No Misleading Listings

The vendor must not upload fake images, wrong location details, inflated facilities, incorrect room views, fake star rating, incorrect meal plan, false parking claims, or any information that can mislead a customer.

7. Commission, GST, and Payout

Rayvia may deduct applicable commission, GST handling, adjustments, refunds, or penalties from vendor payable amounts according to admin configuration and booking records. The vendor dashboard may show payable values without exposing internal percentage settings.

8. Contact Details and Booking Protection

Customer and vendor contact details may be controlled by Rayvia until the configured release time. Vendors must not attempt to bypass Rayvia, cancel a Rayvia booking for direct payment, or move the customer outside Rayvia after receiving a Rayvia booking.

9. Approval and Removal

Submitting a property does not guarantee publication. Rayvia admin may approve, reject, edit, request documents, suspend, or remove any vendor or property to protect customers and the platform.

10. Agreement

By ticking the vendor agreement checkbox and submitting a property, the vendor confirms that they have read, understood, and agreed to these Vendor Terms.
